2. Privacy Policy
Last updated: 11 October 2026
This policy explains what personal data WiseShift collects through this website, why, how long we keep it and what rights you have. It is written under the EU General Data Protection Regulation (Regulation (EU) 2016/679, “GDPR”) and Portuguese Law 58/2019, and section 2.8 explains how it applies if you are outside the EU.
2.1 Who is responsible (the controller)
| Controller | WiseShift |
|---|---|
| Address | Lisbon, Portugal |
| gdpr@wiseshift.eu |
WiseShift is not required to appoint a Data Protection Officer. All privacy matters are handled at gdpr@wiseshift.eu.
2.2 What we collect and why
a) Contact form (“Send Us a Message”)
- Data: name, work e-mail, company and role (optional), your message, your confirmation that you agree to be contacted, and the date and time. Our automation server also receives technical data such as your IP address and browser type.
- Purpose: to reply to you, and to send you a confirmation that we received your message.
- Legal basis: steps taken at your request before a possible contract (Art. 6(1)(b) GDPR); for technical data, our legitimate interest in keeping the form secure and free from abuse (Art. 6(1)(f)).
b) Chat assistant (“WiseShift Assistant”)
- Data: your role, company size, name, e-mail, the page you were on and a random session ID.
- Purpose: to suggest the right next step (booking a meeting or more information), to e-mail it to you, and to let our team follow up.
- How it decides: a simple rule based on your role and company size chooses which next step to offer. It has no legal or similarly significant effect, and you can always contact us directly instead.
- Legal basis: steps at your request before a possible contract (Art. 6(1)(b)) and our legitimate interest in answering business enquiries efficiently (Art. 6(1)(f)).
c) Live chat (“Chat with our team now”)
- Data: the messages you write, plus the name, e-mail, role and company size you gave the assistant.
- How it works: your messages are stored on our automation server and relayed to the WiseShift team through the Telegram messaging service, so that a person can answer you in real time. Our replies travel back the same way.
- Legal basis: steps at your request (Art. 6(1)(b)) and legitimate interest (Art. 6(1)(f)). The transfer to Telegram is necessary to provide the live chat you asked for (Art. 49(1)(b) GDPR). If you prefer it not to pass through Telegram, please use the contact form or e-mail instead.
- Retention: deleted automatically from our automation database after 90 days.
d) Booking a meeting
Bookings are made through Google Calendar appointment schedules. The name, e-mail, phone number and any notes you enter are used to schedule the phone call and call you (Art. 6(1)(b)). If you open the booking page or allow the embedded calendar, Google also processes your IP address under its own privacy policy.
e) Server logs and security
Like any website, our hosting provider automatically records the IP address, date and time, requested page, response code and browser type. Our automation server is protected by Cloudflare, which processes IP addresses to block attacks. Both are used only for security and fault diagnosis, based on our legitimate interest (Art. 6(1)(f)).
f) Visit statistics (Google Analytics) — only with your consent
- Data: pages viewed, how you arrived (for example a Google search), device and browser type, approximate country or city (worked out by Google from your IP address, which Google Analytics does not store), and clicks on key buttons such as “Book a Meeting”, sending the contact form or opening the chat — never what you type.
- Purpose: to understand which pages are useful and improve the website.
- Legal basis: your consent (Art. 6(1)(a) GDPR and Art. 5(3) of the ePrivacy Directive), given in the cookie window. Without it, Google Analytics is not loaded at all. You can withdraw consent at any time in Cookie settings.
- Provider and safeguards: Google Ireland Ltd; possible transfer to Google LLC (USA), certified under the EU–U.S. Data Privacy Framework. Google signals and ad personalisation are switched off, and the data is not used for advertising or shared with Google’s advertising services.
- Retention: 14 months.
g) Cookies and local storage
See the Cookie Policy. In short: only what is strictly necessary, plus statistics and Google content if you allow them.
h) What we do not do
- We do not sell, rent or share personal data for advertising or any commercial purpose.
- We do not use advertising or social-media tracking on this website, and visit statistics are never used for advertising.
- We make no automated decisions with legal or similarly significant effects, and do no profiling.
- We do not send newsletters from this website.
- We do not knowingly collect data from anyone under 16.
Providing your data is voluntary, but without a name, an e-mail address and a message we cannot reply.
2.3 Who receives your data
Apart from the WiseShift team members who need it to answer you, your data is processed by these service providers, bound by data-processing terms under Article 28 GDPR (or, for Telegram, used as described in section 2.2 c):
| Recipient | What for | Where |
|---|---|---|
| Hostinger International Ltd (Cyprus) | Website hosting and server logs | European Union |
| Our automation server (n8n, operated by WiseShift) | Receives contact-form, chat and live-chat messages and sends the related e-mails | — |
| Cloudflare, Inc. | Network security: protects our automation server against attacks, and the bot check (Turnstile) on forms and chat (processes IP address and browser signals) | Global network; USA (EU–U.S. Data Privacy Framework + Standard Contractual Clauses) |
| Google Ireland Ltd (Google Workspace) | Our company e-mail: receiving your messages and our personal replies to you | EU, with possible transfer to the USA (EU–U.S. Data Privacy Framework + SCCs) |
| Amazon Web Services EMEA SARL (Amazon SES) | Sends the website’s automatic e-mails (from no-reply@mail.wiseshift.eu): your confirmation or booking link, and the internal notification to our team | EU (Ireland); AWS is certified under the EU–U.S. Data Privacy Framework |
| Google Ireland Ltd / Google LLC | Online booking (Google Calendar appointment schedules) and, only if you allow them, visit statistics (Google Analytics) and the embedded booking calendar and map | EU, with possible transfer to the USA (EU–U.S. Data Privacy Framework + SCCs) |
| Telegram FZ-LLC | Relays live-chat messages to the WiseShift team’s phones | United Arab Emirates and Telegram’s global data centres |
We may also disclose data to public authorities when the law requires it.
2.4 Transfers outside the European Economic Area
Where a provider processes data outside the EEA, the transfer relies on an adequacy decision of the European Commission (including the EU–U.S. Data Privacy Framework for certified US companies), on the Commission’s Standard Contractual Clauses, or — for the live chat via Telegram — on the transfer being necessary to provide the service you requested (Art. 49(1)(b) GDPR). You can ask us for a copy of the relevant safeguards at gdpr@wiseshift.eu.
2.5 How long we keep your data
| Data | How long |
|---|---|
| Contact-form and chat-assistant enquiries (in our mailbox) | Up to 3 years after our last contact; if a contract follows, the statutory period for commercial and tax records (10 years) |
| Live-chat messages (in our automation database) | Deleted automatically after 90 days |
| Technical execution logs of our automation server (may include IP address) | Up to 14 days |
| Website server logs (Hostinger) | Short period set by the hosting provider, for security and fault diagnosis |
| Booking records (Google Calendar) | As long as needed to manage the appointment and the resulting business relationship |
| Visit statistics (Google Analytics), only with consent | 14 months |
| Your cookie choice | 6 months, then we ask again |
2.6 Your rights
You have the right to access your data; to rectify it; to have it erased; to restrict its processing; to object to processing based on legitimate interest; to data portability; and, where processing is based on consent, to withdraw consent at any time without affecting what was done before.
To exercise any of these rights, write to gdpr@wiseshift.eu. It is free, and we reply within one month. We may ask you to confirm your identity.
You also have the right to lodge a complaint with a supervisory authority. In Portugal: Comissão Nacional de Proteção de Dados (CNPD), Av. D. Carlos I, 134 – 1.º, 1200-651 Lisboa, www.cnpd.pt. If you live in another EU/EEA country, you can contact your own national authority.
2.7 Security
The website is served only over encrypted HTTPS connections, with security headers that limit what third parties can load. Server access uses key-based authentication. Contact and chat data is sent over encrypted connections, and access to our systems is restricted to the people who need it.
2.8 If you are outside the European Union
United Kingdom
The UK GDPR and the Data Protection Act 2018 apply in the same terms as above. You may complain to the Information Commissioner’s Office (ico.org.uk).
Switzerland
The Federal Act on Data Protection (FADP) applies; you have equivalent rights and may contact the Federal Data Protection and Information Commissioner (FDPIC).
Brazil (LGPD)
You have the rights in Articles 17–18 of Law 13.709/2018, including confirmation of processing, access, correction, anonymisation, portability, deletion and information about sharing. Our contact for data-protection matters (encarregado) is gdpr@wiseshift.eu. You may also contact the ANPD.
United States (California and other states)
In the last 12 months we collected, from you directly: identifiers (name, e-mail, IP address), professional information (company, role, company size) and the content of your messages, for the purposes described in section 2.2. We do not sell or share personal information (as defined by the CCPA/CPRA and similar state laws), do not use it for cross-context behavioural advertising, and do not collect sensitive personal information. You have the right to know, access, correct and delete your information, and to opt out of sale or sharing; we honour Global Privacy Control signals. You may use an authorised agent. We will not discriminate against you for exercising your rights. Requests: gdpr@wiseshift.eu.

If this policy changes, the date at the top is updated. Significant changes are highlighted on the website, and where a new purpose requires consent, we ask you again.
4. Terms of Use
Last updated: 11 October 2026
4.1 Who we are
This website is operated by WiseShift (“WiseShift”). Full details are in the Legal Notice.
4.2 Purpose of the website
This website is informative. It presents WiseShift and its services and lets you contact us or book a meeting. It is not a shop: nothing on it is a contractual offer. Services, scope and prices are always agreed in writing, case by case. Booking an initial phone call is free and creates no obligation for either party.
4.3 Chat assistant and live chat
The chat assistant is an automated tool that asks a few questions and suggests a next step; it does not give professional advice. Replies given in the live chat by our team are general information to help you decide on a next step, and are not binding advice or a commitment until confirmed in writing.
4.4 Acceptable use
You agree not to use the website or its forms and chats to send unsolicited, unlawful or harmful content, to submit automated or bulk requests, to impersonate others, or to try to disrupt, probe or bypass the security of the website or the services behind it.
4.5 Intellectual property
The content of this website — texts, images, graphics, logos and layout — belongs to WiseShift or is used with permission of its owners (including licensed stock images). You may view and print it for personal use; any reproduction, distribution or commercial use requires our written permission.
4.6 Liability
We take care to keep the information accurate and up to date, but we do not guarantee that it is free of errors or that the website will always be available. The website may link to third-party websites over whose content we have no control and for which we accept no responsibility. Nothing in these terms excludes or limits any liability that cannot be excluded by law, including consumers’ statutory rights.
4.7 Privacy
Personal data is handled as described in the Privacy Policy and the Cookie Policy.
4.8 Applicable law and jurisdiction
These terms are governed by Portuguese law. The courts of Lisbon have jurisdiction, without prejudice to mandatory rules that allow consumers to bring proceedings in the courts of their own domicile.
4.9 Changes
We may update these terms; the date at the top shows the current version.
